Job Description

Rooms Controller

The Rooms Controller plays a critical role in the daily success of hotel operations by acting as the liaison between billing, reservations, and guest services. This position is responsible for setting the stage for a smooth and efficient operation each day by managing room inventory, coordinating guest requests, and ensuring accurate billing. With a strong attention to detail and guest satisfaction, the Rooms Controller is key to balancing operational needs and delivering exceptional service.

What You’ll Do:

  • Balance LightSpeed and MARSHA inventory systems to ensure accurate availability.
  • Manage PA MARSHA one week out: check for duplicate reservations, block rooms, and run necessary reports.
  • Process deposits for prepaid reservations, including single-use credit cards.
  • Pre-block all suite reservations, VIPs, and elite members (including Platinum upgrades).
  • Coordinate and pre-block guest special requests (e.g., connecting rooms, roll-in showers, high floors, accessible rooms, early arrivals, etc.).
  • Arrange for delivery of amenities such as cribs, rollaways, foam pillows, and extra towels.
  • Organize and manage group arrivals, including check-in and pre-registration procedures.
  • Clear discrepant rooms by 12:30 PM and ensure all departures are processed by 2:00 PM.
  • Maintain constant follow-up on pending rooms and communicate readiness to guests.
  • Confirm all pre-arrival requests are completed by Housekeeping, Engineering, and Room Service.
  • Utilize Interactive Room Block Chart to maximize occupancy and eliminate gaps.
  • Set up billing for third-party payments, direct billing, and prepaid reservations.
  • Verify and adjust guest billing and ensure rates align with correct market codes.
  • Review and confirm reservations and cancellations as needed.
  • Monitor out-of-order rooms daily and follow up as appropriate.
  • Identify and resolve any over-commitments in a timely manner.
  • Review guest profiles (GXP) for preferences and communicate requests to the relevant teams.
  • Assist at the front desk during high volume or as needed.

About You:

  • High school diploma or equivalent (GED) required.
  • 1–3 months of related experience and/or training preferred.
  • Strong communication and organizational skills.
  • Experience in hotel front office operations and familiarity with MARSHA and LightSpeed systems preferred.
  • Ability to multitask and handle guest interactions professionally and efficiently.
  • Flexibility to assist in a dynamic, fast-paced environment.
